Refund and returns policy
1. Overview
At Responsive IP VOIP, we stand behind the quality of our IP phones and VoIP hardware. If you’re not entirely satisfied with your purchase, this Refund & Returns Policy explains how to request a return or refund, which items qualify, and how we’ll handle your request.
2. Eligibility for Returns
- Timeframe: You may return unused, unopened products within 30 days of delivery.
- Condition: Items must be in original packaging, with all accessories, manuals, and protective seals intact.
- Proof of Purchase: A valid order number and packing slip or invoice must accompany every return.
3. Non-Returnable Items
The following products cannot be returned unless defective under warranty:
- Opened or installed hardware (e.g., phones removed from packaging)
- Customized or factory-configured units (e.g., with preloaded provisioning settings)
- Clearance, “as-is,” or “final sale” items
- Consumables (e.g., cables, batteries) once unsealed
4. How to Initiate a Return
- Contact Support: Email support@responsiveipvoip.com within 30 days of delivery, providing your order number, item(s) to return, and reason for return.
- Return Authorization: If eligible, we’ll issue a Return Merchandise Authorization (RMA) number and detailed instructions within two business days.
- Ship the Item: Pack the product securely, include the RMA form, and ship to our returns address (provided with your RMA). You are responsible for shipping costs unless the return is due to our error or a defective product.
5. Defective or Damaged Items
- Inspection: Report any damaged or defective item within 7 days of receipt by emailing info@responsiveipvoip.com with photos and a brief description.
- Resolution: We’ll arrange for either a replacement (subject to availability) or a full refund—including original and return shipping costs.
6. Refund Process
- Processing Time: Once we receive and inspect your return (typically within 5–7 business days), we’ll notify you of approval or rejection.
- Refund Method: Approved refunds will be issued to the original payment method. Allow 3–5 business days for the credit to appear on your statement.
- Partial Refunds: If an item is returned in less-than-original condition, only a partial refund may be granted to cover loss in value.
7. Exchanges
We do not process direct exchanges. To exchange an item, please return the original for a refund per the steps above, then place a new order for the desired product.
8. Warranty Returns
All VoIP hardware includes a one-year manufacturer’s warranty against defects in materials and workmanship. Warranty returns follow the same RMA process, except:
- No Restocking Fee: Warranty returns incur no restocking or shipping fees.
- Repair vs. Replacement: We may, at our discretion, repair a defective unit instead of replacing it.
9. Shipping Costs & Restocking Fees
- Customer-Initiated Returns: You are responsible for return shipping costs.
- Restocking Fee: A 15% restocking fee applies to non-defective returns to cover handling and inspection.
- Seller-Initiated & Defective Returns: No restocking fee; we cover all shipping.
